Know who is in your building. Prove it afterwards.
Visitor management for reception, security and the staff who receive visitors. Schools, office lobbies, factory gates, clinics, government counters and logistics yards all use it the same way.
Set the rules once. Every gate follows them.
Paper logbooks fill up, spreadsheets don't stand up to an audit, and a clipboard can't tell you who's still inside when the fire alarm goes off. Nauba VMS gives you one live view of every entrance instead.
- See how many people are on site against your capacity, who has stayed too long, who was turned away, and everyone who has ever visited.
- Run a head office, a plant, a school and a warehouse under one licence. Each site keeps its own gates, visitor types, staff and branding, and no data is shared between them.
- Set the rules for each type of visitor once, and every gate, kiosk and tablet applies them the same way.
Four ways to check in.
However a visitor arrives, they end up in the same visitor history.
Pre-registration
A member of staff invites the visitor, who gets a link by email. They fill in their details, upload their ID, accept the entry terms, and receive a digital pass with a QR code, their host's name, the room and a calendar invite.
Fast-Pass
The visitor holds up the pass, the terminal scans it, the record comes up with photo and host, and one tap admits them.
Self-service
A tablet at the entrance checks in walk-ins on its own, with a camera, on-screen keyboard and signature pad, in English or Arabic. Returning visitors are recognised by phone number.
Attended check-in
Receptionists take a photo, find the host, look up returning visitors, note vehicles and any equipment brought in, then print a badge in the site's own design.
Hosts stop being the bottleneck.
As soon as a visitor checks in, their host gets a message. They reply with one tap, and reception knows what to tell the visitor straight away. Nobody has to keep ringing an extension that doesn't answer.
- Each host chooses their own channels and can nominate a delegate.
- Every notification and acknowledgement is timestamped.

When something goes wrong, you have a roll call.
Nauba VMS always knows who is inside. Start an incident, whether it's a fire drill, a real evacuation, a lockdown or a weather warning, and the live roll call opens straight away.
- Marshals scan badges at the assembly point to clear people, or verify them by hand.
- A mass broadcast reaches every visitor on site by SMS and WhatsApp at once.
- A printable evacuation sheet covers you when the network doesn't.
- When you close the incident, Nauba VMS writes a summary with headcounts, times and the officers involved, ready for an inspector or insurer.
EID ScanStop typing Emirates IDs by hand.
Some sites don't need a full visitor system yet, just a faster way to record IDs at the gate. With a standard smart-card reader, Nauba EID Scan reads the details straight from the card's chip. It works offline, so it keeps going when the internet is down. It runs on Windows desks and on Android, with layouts made for phones, foldables, and tablets.
- A complete small-site front office: vehicle plate, pass number and vehicle photo, check-in and check-out with duplicate-visit prevention.
- Returning visitors recognised from the card alone. Records encrypted on the device.
- Reports show who's on site, who has left and who never checked out, and export to Excel with ID and vehicle photos included.
One reader at one guard post
Faster check-ins and accurate records from the first day.

The same desk then feeds the central visitor history, prints badges and notifies hosts, with the same hardware and no retraining.
Governance you can show an auditor.
Every check-in, badge, approval, refusal, blacklisting, emergency and host reply is recorded, and you decide exactly who can do what.
Roles you define. Permissions you choose.
You aren't stuck with a fixed list of job titles. Create roles that match your organisation, choose what each one can see and do, and limit them to the sites and gates they cover.
- Create, rename, and retire roles whenever your structure changes.
- Allow or block each action per role, including approvals, blacklisting, starting an emergency and exporting reports.
- Limit a role to specific sites, so a school's safeguarding lead never sees the warehouse.
Immutable audit trail
For every action: who did it, on which terminal, from which IP address and what changed.
Configured per site
Visitor categories, entry terms, badge layouts, and branding are set site by site, so each building runs its own way on one platform.
ID numbers protected
ID numbers are stored encrypted, and each site sets how long they're kept. Returning visitors are still recognised, without breaking your data-protection policy.
Exports
Reports to Excel, CSV, and PDF.
Microsoft 365 sign-in
Staff sign in with the accounts they already use.
Registered terminals
Every terminal is paired to its device and monitored for printer status and last contact.
Anywhere you need a record of who came in.
Start with one reader at one gate.
Then add every entrance at every site on the same system. Tell us how visitors arrive today, and we'll show you what your first gate would look like.
